Inventory: Detail card — Overview

The Overview tab is the first thing you see when you open a unit in Inventory. Here you gather documentation, notes, damage reports and operating info.

Images

Upload one or more images of the unit. Images appear in the list and on the detail card, and make it easy to identify the unit visually.

Notes

Add free-text notes about the unit. Each note shows the author and date. Use notes to log events, observations or instructions that don't fit in the structured fields.

Documents with an expiry date

Upload documents and set an expiry date. You'll get an alert when the expiry date approaches. Typical documents:

  • Periodic vehicle inspection certificate
  • Proof of insurance
  • Leasing contract
  • Service documents

Damage reports

Log damage with severity and reporter. The damage reports give you a history of the vehicle's or equipment's condition, and are useful when settling with insurance or leasing.

In the right-hand part of the Overview tab you'll find a quick status overview:

Live position

Shows the unit's last known position on a mini map (for units with GPS or Asset).

Leasing information

Fill in:

  • Lessor
  • Contract number
  • Mileage limit
  • Start date and end date
  • Monthly rate

This makes it easy to keep track of leasing agreements directly in Inventory, without searching through email or spreadsheets.

Service interval

Set up service intervals with type and next due date. You'll get an overdue alert when the due date passes. Examples of interval types: tire change, oil, filter, general service.

Alerts

See active alerts linked to the unit — for example GPS disconnection, geofence breach or expired documents.

Leasing follow-up and service intervals are available for all unit types — vehicles, machines and other equipment.
