Privacy is personal and is managed by each individual user (driver). This means that as a user you have full control over who can see and report on your trips and vehicles. The default setup when registering new users and licenses is Strict.
When should you use the privacy levels?
- When you need to report driving on a project to a customer.
- When you need an overview for internal project accounting.
- When you need to document resource use for an audit.
What are the levels?

| Low | You as the default driver, and all users — regardless of role — who are linked to the account with access to the vehicle, can see trips you are the driver on, and pull reports with details. Both work and private. |
| Moderate | You as the default driver, as well as users with the roles Account owner and Admin, can see and report on all trips, both work and private. |
| Strict (recommended for Class 2 vans) | You as the default driver can see all your trips, work and private. Users with the roles Account owner and Admin can only see trips marked as work, and can only pull key figures on trips driven privately. No details on private trips are visible to anyone other than the driver. |
| Maximum (recommended for mileage allowance) | Only you as the default driver can see and report on trips in the mileage log. This applies to both trips marked work and private. No one else has access or the ability to report on your trips. If the Approval module is set up, the Approver will be able to see trip details in claims sent for approval. In addition, when mileage is processed for payroll — in the solution or via the API — the payroll lines are exposed to those who handle payroll. These are not the trip details themselves, only payroll lines (the amount to be paid out). |
Exception: Trips with the rate "Class 2 van Work" will be visible to Account owner and Admin.
How to change the privacy level
- Go to Settings → Privacy.
- Select the level you want.
- Click Save.
