What is the default setting for a new user?
The default setting for all new users on new accounts is Strict, unless otherwise agreed.
Can I, as an administrator, use the mileage log to check employees' working hours?
No. You can view it, but not use the information in a personnel matter. If it has been clarified that this is one of the purposes of the mileage log in the agreement with the employees, and they have been informed and have consented to it, then you can check it to log hours for payroll.
Can I, as an administrator, change the privacy level in Autogear for my employees?
No, this is a personal setting that each individual user/employee must log in and adjust themselves. This is in line with GDPR rules.
Can I, as an administrator, require access to all trips, both work and private?
For work trips in a company-owned van, yes. Viewing private trips, no.
What happens with trips that have no driver?
Trips without a defined driver, and vehicles without a default driver, are not affected by the privacy settings.
Guidelines as an administrator of the mileage logs
As administrator of the mileage logs, you have access to personal data about the employees, which makes you a data processor. It is then important to know what you can and cannot claim to see or have access to, in order to report in line with the company's requirements for payroll and accounting.
Privacy and GDPR govern what you, as a manager in a company, can see of trips in the mileage log. You are not entitled to see details of private trips — only key figures summarizing km registered as private, in order to document and calculate the taxation. Where the driver has driven in their private time has no bearing on this basis.
