The payroll report in Autogear

With the payroll report you can pull out key figures tailored for payroll runs. The report includes driving (based on the mileage rate), add-ons such as passenger and trailer, and toll crossings.

When should I use the payroll report?

  • When you need to pull out the payroll basis for taxation or payout
  • When you want an overview

How to generate the report

Go to Reports: Payroll.

  1. Choose what the period should be based on: - When the trip was driven — pulls key figures from all trips registered as driven in the period. - When the claim was created — if you only want key figures for trips that have had a claim created for them in the selected period. - When the claim was approved or completed — if you want key figures for trips that have a claim created, where the claim is approved or set to completed in the desired period.
  2. Choose the period.
  3. Choose whether you want it for all drivers, or selected drivers, teams or roles.
  4. Tick off which rate or rates the report should include.
  5. Choose trip status — you can choose based on where the trips are in the driver's log: - Not claimed — trips that are in the inbox or under Confirmed trips in the Create claim tab. - Started claims — trips that are under the Started claims tab. - Approved claims — trips that are under the Completed claims tab, as well as approved trips if an approver has been set up.

Click Preview to get an overview of the report.

It can take 10–15 seconds before the file has finished downloading in your browser.

Formats and downloads

  • Excel (.xlsx): for further processing or import
  • PDF: finished report, easy to share or archive
  • CSV: suitable for import into external systems

Tips and important notes

  • If you don't have software that supports the .xlsx format, you can use the free program Excel Online from Microsoft. Log in at office.live.com and choose Upload a workbook to open the report. If you're already logged into a spreadsheet and want to upload a new workbook, do this to get back to the start page.
  • If your account is integrated with PowerOffice, you can send the report directly for payroll processing. Read more about integration with PowerOffice.

Troubleshooting

I'm not getting any trips even though everything is entered correctly

This may mean the driver hasn't reported any private trips in the period.

Drivers have reported private trips, but no km is showing up

Check whether you've ticked the correct rate in the dropdown menu, or whether the drivers are using the wrong rate to log private driving or mileage allowance. You can check which rates the vehicles have under Settings → Rates.

If you find any with the wrong rate, change it to the correct template. A change only takes effect for future trips. If the wrong rate was used on earlier trips, this must be edited manually by the driver.
