With the Tripletex integration, you can import your projects from Tripletex into Autogear, book trips to them and send the cost of the driving back to the project in Tripletex. There are two data flows that are switched on separately:
- Projects imports the projects from Tripletex into Autogear.
- Project costs bills the trip costs to the Tripletex project as order lines, so the project carries what the driving actually cost.
You can use Projects without Project costs, for example if you want the projects on the trips without billing them.
Import projects from Tripletex
- Go to Setup › Integrations › Tripletex.
- Choose the Projects data flow and Set up flow.
- Under Import schedule, choose how often the projects should be imported: every hour, every day, every week or every month. The default is every day at 05:00.
- Select Save schedule and turn on Sync.
The projects appear under Setup › Triplog › Projects. Projects from Tripletex can't be edited in Autogear. Change them in Tripletex, and they are updated at the next import.
Create a product for driving in Tripletex
Project costs are sent as order lines on a product. So create a product in Tripletex for the driving to be booked to, for example «Kjøring» or «Bilbruk».
The amount that's used
The amount on the order lines comes from the trips in Autogear.
What if the rate «Jobb – varebil kl. 2» gives NOK 0?
You can set an «Innkjøpspris eks. mva» (purchase price excl. VAT) on the product in Tripletex. It works as a price per kilometre: the number of kilometres from Autogear is multiplied by the price on the product. This is only used when the amount in Autogear is NOK 0.
Here's how: Open the product in Tripletex and scroll down to Prisinformasjon. The amount is 0 by default, but you can change it, for example to 3.50.
Send project costs to Tripletex
- Go to Setup › Integrations › Tripletex.
- Choose the Project costs data flow and Set up flow.
- Under Map products, map each Autogear rate to the product it bills as in Tripletex. Costs on rates without a product are skipped.
- Choose how often the costs should be sent: every hour, every day, every week or every month. The default is every day at 06:00.
- Select Save schedule and turn on Sync.
Select Preview what will be sent to see the order lines for last month before you turn it on.
Which costs are sent?
Each run only sends costs that haven't been sent before. Nothing is sent twice.
- Every hour: sends costs up to and including today.
- Every day and every week: sends costs up to and including yesterday.
Trips that are approved late are included in the next run. All times are Norwegian time.
How it appears in Tripletex
The costs are added as order lines on each project.
