With the Tripletex integration, Autogear sends travel expenses and project costs to Tripletex automatically, and imports your projects from Tripletex into Autogear. You set it up once, and then it runs on the schedule you choose.
What the integration does
You choose which data flows you want to use. Each flow is set up and switched on separately.
| Data flow | Direction | What happens | How often |
|---|---|---|---|
| Travel expense | Autogear → Tripletex | Mileage allowance and outlays are sent as travel expenses. | Once a month, on the day and at the time you choose. |
| Projects | Tripletex → Autogear | Projects in Tripletex are imported, so trips can be booked to them. | Every hour, day, week or month. |
| Project costs | Autogear → Tripletex | Trip costs are billed to the Tripletex project as order lines. | Every hour, day, week or month. |

Requirements
- A Tripletex account with travel expenses (reiseregning) activated.
- Users must be registered as Employees in Tripletex, not as Contacts. If you already have payroll and travel expenses in Tripletex, this is already in place.
- You must be an administrator in Autogear.
Step 1 — Create an employee token in Tripletex
- Log in to Tripletex and go to Min profil → API-tilgang (My profile → API access).
- Select Ny nøkkel (New token). We recommend «Tilpasset oppsett» (custom setup) with all permissions, so all the data flows work.
- Give the token a name, for example «Autogear», and select Opprett nøkkel (Create token).
- Copy the token.
Step 2 — Connect to Tripletex in Autogear
- Go to Setup › Integrations › Tripletex.
- Select Activate integration.
- Paste the token into the Employee token field, and select Connect to Tripletex.
Step 3 — Map employees and rates
Autogear needs to know which Tripletex employee each user is, and which rate code each rate should be booked to. The mappings apply to all the data flows, so you do this once.
- Under Map employees, choose the right Tripletex employee for each Autogear user. Select Suggest matches to let Autogear suggest mappings based on name and email.
- Under Rates, map Autogear rates, add-ons and tolls to the right Tripletex rate code. Select Suggest from Tripletex for suggestions.
- Select Resolve rate categories if any rates show «Category missing».
Changes save as you pick. Employees and rates you haven't mapped are skipped in the transfer. You can map more at any time.
Step 4 — Set a schedule and turn on travel expenses
- Choose the Travel expense data flow and Set up flow.
- Under Report schedule, choose the reporting period and the day and time the travel expenses should be created. Pick a day after the period closes, so trips have time to be approved.
- Choose which trips to include: - Only approved trips — trips waiting for approval are held back and sent once approved. - Never send a trip twice — each trip is sent only once. Turn off if you need to re-send a period.
- Select Save schedule and turn on Sync.
All times are Norwegian time. When sync is on, the page shows when the next run happens and which period it covers.
Follow the runs
On the Tripletex page, you see the status of each data flow and a log of the runs:
- Completed — everything was sent.
- Partly completed — something wasn't sent. Select Run again. What has already been sent isn't sent again.
- Failed — nothing was sent — no data has been duplicated. Check the connection and run again.
- Nothing to send — there were no lines to transfer in the period.
To send right away, select Sync now. Select Preview what will be sent to see the lines before they are sent.
Change the token or disconnect
- Select Change key to paste in a new employee token.
- Disconnect the integration removes the integration completely and takes you back to setup. Your employee and rate mappings are kept.
